ChamilaDigital (operated by Websprobe Private Limited, Sri Lanka — “we”, “us”, “our”) is an AI-powered performance marketing agency. This Privacy Policy explains how we collect, use, and protect information when you use our website (chamiladigital.com), our client services, and our business applications, including integrations with Meta platforms (Facebook, Instagram, and WhatsApp Business).
1. Information We Collect
- Contact information you provide — such as your name, business name, email address, and phone/WhatsApp number — when you contact us, request a proposal, or become a client.
- Business and advertising data that clients authorize us to access through platform APIs (e.g., Meta Marketing API, Google APIs), such as ad account performance metrics, campaign data, and page insights.
- Messages sent to our own WhatsApp Business number, which we receive and store in order to respond to inquiries and provide client services.
- Client conversation data. Where a client explicitly authorizes it, our application receives and stores messages exchanged between that client’s own WhatsApp Business number and that client’s customers. This includes the message text, the sender’s WhatsApp number, the timestamp, and whether media was attached. We collect this data for one purpose only: to measure conversation outcomes for that client — response times, unanswered enquiries, and whether an enquiry became an order — and to report those measurements back to the client alongside their advertising performance.
- Website usage data such as pages visited and general analytics, collected via standard analytics tools.
2. How We Use Information
- To provide, operate, and improve our marketing and advertising services.
- To communicate with clients and prospects, including sending reports, invoices, and service updates via email or WhatsApp.
- To analyze advertising performance and generate insights and reports for the respective client only.
- To measure conversation and enquiry outcomes on behalf of a client, and present those measurements to that client.
- To comply with legal obligations.
3. Client Conversation Data — Our Commitments
Because this data belongs to our clients and to their customers, we hold ourselves to the following commitments:
- We never send messages to a client’s customers. Our access to client conversation data is read-only. Our system has no capability to reply to, contact, or initiate a conversation with a client’s customer.
- We never use automated agents on client conversations. Our own AI assistant operates exclusively on our own WhatsApp Business number and is technically prevented from accessing client conversation data.
- Each client’s data is isolated. One client’s conversation data is never visible to, shared with, or used for the benefit of another client.
- We never sell, rent, or share this data with advertisers, data brokers, or any unrelated third party.
- We collect only what the measurement requires. We do not download or store photos, videos, voice notes, or other media files sent in client conversations; we record only that media was present.
- Connection is explicit and reversible. A client connects their WhatsApp Business account through Meta’s official onboarding flow, with their own consent, and may disconnect at any time. On disconnection we stop receiving new data, and we delete the stored conversation data on request.
- Retention is limited. Conversation message content is retained only as long as needed to produce the client’s reporting and is deleted thereafter. Aggregate measurements derived from it (such as an average response time) may be retained, as these contain no personal information.
4. Meta Platform Data
Where a client authorizes us to access their Meta assets (ad accounts, pages, WhatsApp Business accounts), we access only the data necessary to deliver the agreed services. We do not sell platform data, share it with unrelated third parties, or use one client’s data for another client. Our use of data received from Meta APIs complies with the Meta Platform Terms and applicable developer policies.
5. Data Sharing
We do not sell personal information. We share information only with:
- Service providers that support our operations (e.g., cloud hosting, email delivery), bound by confidentiality obligations.
- Authorities, where required by law.
6. Data Retention & Security
We retain information only as long as needed for the purposes described above or as required by law. Data is stored on secured cloud infrastructure with access controls, encryption in transit, and restricted internal access. Access to client conversation data is limited to the personnel who operate that client’s account.
7. Your Rights & Data Deletion
You may request access to, correction of, or deletion of your personal information at any time.
To request deletion of your data — including messages sent to our WhatsApp Business number, conversation data collected through a client’s connected WhatsApp Business account, or data collected through our Meta integrations — contact us at [email protected] with the subject line “Data Deletion Request”. We will confirm and complete verified requests within 30 days.
If you are a customer of one of our clients and wish to have your conversation data removed, you may contact us directly at the address above, or contact that business, and we will action the request.
8. Children’s Privacy
Our services are intended for businesses and are not directed to children under 18. We do not knowingly collect information from children.
9. Changes to This Policy
We may update this Privacy Policy from time to time. The “Last updated” date above reflects the latest revision. Continued use of our services after changes constitutes acceptance of the updated policy.
